Executive Assistant to Head of School Overview: Seeking a person with strong organizational skills and a positive attitude eager to support the mission of a private classical and Christian school by working full-time as an executive assistant responding to, addressing, and anticipating the multifaceted needs of a Head of School. Skills Needed: · Proven track record of healthy communication and problem-solving abilities · Effective and timely handling of scheduling, database, and task management · Proficient in creating and implementing filing systems with integrity and clarity · Well-versed in organizing and facilitating retreats, parties, events, and gifts · Excellent compositional skills for writing letters, emails, agendas, and reports · Experience handling confidential information and managing complex situations Job Description: Support Head of School with board management: · Attend board meeting and record minutes of all meetings · Organize arrangements and prepare materials for board meetings · Coordinate travel for head, board, consultants, or advisors · Basic book keeping and financial reports for Foundation Board · Manage compliance reports for Academy & Foundation boards · Support on-ramping of board members with relevant information · Maintain filing of all board documents in DropBox or board binders · Update database with all board and consultant contact information Support Head of School with faculty management: · As needed, attending meetings and provide summary follow-up · Organize faculty retreats, in-service-days, special events, and gifts · Maintain binders of retreat, in-service, and event agendas and info · Ensure the details of events are communicated to participants · Format and laminate teacher schedule/duties bi-annually · Update database with all faculty and staff contact information · File and track all student legal documents with confidentiality · Support fundraising, admissions, marketing officers, as directed · Coordinate Birthday Book ordering and recording for students · Update database with all family/student contact information Support Head of School with academy responsibilities: · File and track all student legal documents with confidentiality · Support fundraising, admissions, marketing officers, as directed · Coordinate Birthday Book ordering and recording for students · Update database with all family/student contact information Support Head of School with Administrative Management: · Communicate to board, faculty, staff or families, as directed · Schedule meetings and coordinate calendar events, as needed · Receive and direct visitors to the right departments, as needed · Open mail or screen and draft replies or responses, as directed · Photocopy, deliver, mail, file, order, and organize, as needed Support Head of School with Organizational Tasks: · Maintain files and record keeping systems with order · Maintain database and groups with updated contact info · Maintain binders with annual letters, reports, agendas · Maintain working printers, technology, and office supplies · Maintain updated standard operating procedures for all tasks Support Head of School with Strategic Planning: · Gather and analyze information and create correlating reports · Conduct research and market trends and provide information Required: · Bachelor of Arts degree; 3-years administrative experience; Savvy with Microsoft Office. · References from someone currently working 1) over 2) under 2) and alongside applicant. · JHCA coordinated HBDI Brain Profiling & LivStyle Personality Testing for team building. · Salary commensurate with experience; Insurance provided; Position begins immediately. · This is not a comprehensive list of duties or responsibilities that may be required.
